AI Customer Reply Generator: Draft Replies Without Made-Up Facts
Writing the same kind of reply from scratch every time? Paste the customer’s message, add the facts you want to share, and the AI drafts a reply. It won’t guess: prices, dates and anything else you didn’t provide are left as [placeholders] for you to fill in and check before you send.
How to use it
- Paste the message you received. Remove or replace personal details such as phone numbers and addresses first.
- Add the facts the reply can use (stock, opening hours, what you can and can’t do), choose a tone and click Generate with AI.
- Read the draft, fill in every [placeholder], go through the points to check, and put it in your own words before sending.
Four habits of a good customer reply
- Thank them first: one line such as “Thanks for getting in touch” shows the message arrived.
- Answer every question, in order: if they asked two things, answer both. A missed question costs another round of emails.
- Don’t promise what you can’t confirm: check prices and dates before you commit to them.
- Say what happens next: “Just reply to this email to book” tells the customer exactly what to do.
Why the AI leaves [placeholders]
AI models can produce prices and dates that sound right but aren’t. A wrong promise to a customer is hard to take back. This tool tells the AI to use only the facts you enter and to leave anything missing as a placeholder such as [available times]. The placeholders are listed under the draft, so you can fill in every one before sending.
Replying to a complaint
- Start by acknowledging what happened and how the customer feels. Don’t open with an excuse.
- Apologize for the inconvenience. Until you know the cause, avoid admitting fault or promising compensation.
- Decide on refunds, exchanges or discounts internally first. This tool never promises compensation your facts don’t mention.
- If the issue is complicated or the customer is very upset, consider a phone call rather than more email.
Replies to your newsletter, drafted for you
Newsletter Ready includes an AI reply assistant: it sorts readers’ replies to your newsletter (and LINE messages) and drafts an answer based on your website’s articles and the issue they replied to. Prices or dates that aren’t on your site are flagged for you to confirm, and nothing is sent until you approve.
FAQ
Is it free?
Yes. No signup is needed, and you can run it up to 10 times an hour.
Is it safe to paste a customer’s message?
What you enter is sent to our AI provider (Anthropic) to create the draft, and we don’t save it. Still, remove or replace names, phone numbers, addresses and order numbers before pasting.
What if the message is in another language?
The reply is written in the same language as the customer’s message. The points to check are shown in English.
